  • Overview

    This is a highly interactive position that requires the ability to work independently and with a team in a time sensitive environment.  This position requires an employee that is organized and capable of juggling multiple projects at one time. Supports program manager in facilitating service provision.  Completes reporting as required.  Effectively works as part of a project team to ensure a high degree of client and staff satisfaction. Maintains an optimistic and positive approach to the work and team members.

    Responsibilities

    • Maintains project employee rosters utilizing company databases ICIMs and BlueSky.
    • Maintains employee schedules, credentials, and expirations in Bluesky.
    • Assists with In-processing oversight and to assist candidates throughout the procedure.
    • Maintains clear, open communication with our customer, candidates, field employees, and co-workers.
    • Assists with the coordination of field employees’ time off such as PTO, LWOP, or Special scheduling requests
    • Back-up coverage for other team members as requested.
    • Assists with running monthly employee absenteeism report and communicates to PM which employee requires counseling.
    • Assists with maintaining updated call lists and effectively coordinating and communicating with on call team.
    • Runs required reports from multiple databases and effectively documents activity in each database(s).
    • Completes monthly reports as assigned
    • Employee and Client Site Visits as assigned.
    • Assist with development of strategic staffing plans.
    • Maintains all schedules for nurses by ensuring receipt from employee and posting into scheduling program.
    • Coordinates same day schedule changes to ensure appropriate staffing
    • Proactively obtains employee availability.
    • Fills all open shifts by contacting employees according to established protocol and in sufficient number to meet project goals and contract requirements.
    • Communicates progress of staffing open shifts to project team and customer
    • Contacts employees using multiple means of communication to obtain new credentials before expiration following established protocol. Works to ensure no employee is pulled from schedule due to expired credentials.  Works to ensure that expirations do not exceed established protocol and no employee is pulled.
    • Process new credentialing packets as needed.
    • Performs all other duties as assigned.

    Qualifications

    • Bachelor’s Degree in business, healthcare or related field or an associates degree
    • Must have excellent written and oral communication skills
    • Must be organized and able to change tasks throughout the day
    • Ability to perform in a fast-paced environment
    • Intermediate level of Microsoft Office  knowledge (advanced knowledge of MS Excel is preferred)
    • Strong time management skills
    • Scheduling experience a plus
    • Experience with healthcare terminology a plus
